Job Title: Human Resource Officer cum Secretary to CEO
Location of Position: Hanoi Office
Department: HR&AD
Reports to: HR&AD Manager

2. Details about the Position
Requisition Type: Replacement

3. Job Description

To support HR & AD Manager by providing clerical and technical support in the HR areas (recruitment, compensation & benefits, training, …) and take care of secretarial jobs to CEO.

Key Accountabilities

1. Human Resource Management

  • Prepare monthly attendance reports and other supporting documents for payroll
  • Process monthly payroll and other payments to staff
  • Prepare monthly, quarterly compulsory social and health insurances reports
  • Prepare monthly, yearly PIT calculation and reports
  • Optimise medical and other personal insurance schemes for staff
  • Take part in recruitment process, including preparing the staff requisition form, coordinating the job advertisement on proper channels, collecting and screening applications, arranging and participating in the interviews, assisting in recruitment finalization and the job offer and preparing regret letters to the interviewed candidates
  • Arrange training plan for staff including LOMA and other training courses.
  • Share the work with Admin Officer in providing training facilities and equipment
  • Update employees status change process (promotion, transfer, resignation, termination)
  • Implement and maintain HR information system able to provide information to the management and reporting
  • Other relevant duties as assigned by the HR&AD Manager.

2. Secretarial tasks

  • Perform secretarial duties to CEO, BOM at request including arranging working schedule, fixing appointment and other logistics matters, logistic arrangement…
  • Translate documents and interpret meetings when required
  • Make payment requests for occurring and recurring expenses
  • Liaise with government authorities as and when required
  • Take part in organizing team building and other company events
  • Other ad hoc duties as assigned.

4. Minimum Qualification and Experience Requirements

  • Education: Bachelor degree / University degree in Business Administration, Social Science or related field
  • Years of Related Work Experiences: 2 or 3 years of experience in similar position
  • Languages Required: Fluent French, Vietnamese & English
